JOB: Library Assistant, California Academy of Sciences, San Francisco, CA

Reporting to the Head Librarian, the Library Assistant will support all Library and Archive duties; which include answering reference requests, digitizing historical material, processing archival collections, and assisting library patrons.

  • Assist with overall collections maintenance which includes processing new library materials, shelving books and journals, and updating catalogs
  • Assist with a large move of the collections
  • Catalog and digitize photographs, slides, and other archival May need to troubleshoot basic problems with hardware and software
  • Assist Library patrons with reference requests and help with checking out materials
  • Answer historical reference questions (internal and external), relating to the Academy’s Archive
  • Process Archival collections which includes physical arrangement, cataloging, and writing a collection guide
  • Assist with data cleanup in various library and archive systems
  • Page and shelve library materials
  • Direct the work of interns and volunteers as required
  • Assist with simple original cataloging and copy-cataloging of library materials
  • Follow all Academy safety regulations
  • Other duties as assigned

The ideal candidate will possess a combination of the following education and/or equivalent experience:

  • Bachelor’s degree required; MLS/MLIS or MA in Museum Studies degree preferred
  • Minimum of 1 year experience working in a Experience working with a broad range of collections, including books, digital media, and manuscript collections a plus
  • Experience with digitizing archival materials preferred
  • Experience using a collection management system and/or a library catalog


  • Ability to set priorities, manage work, and meet deadlines independently and collaboratively
  • Ability to perform routine and sometimes repetitive clerical duties with consistent precision and accuracy
  • Ability to interact and communicate successfully and sustain effective working relationships with a wide range of people including Academy colleagues as well as external researchers and others
  • Excellent computer and technical skills and ability to learn new technologies
  • Good interpersonal skills and ability to work with diverse stakeholders
  • Excellent analytic problem-solving and organizational skills
  • Strong written and oral communication skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.  Ability to speak effectively before groups or individuals. Bilingual (spoken and/or written) in Spanish, Cantonese, Mandarin, or other non-English language preferred but not necessary.
