JOB: Circulation Supervisor & Reserves Manager, California Institute of Integral Studies, San Francisco

JOB DESCRIPTION
Reporting to the Access Services & Operations Manager, the Circulation Supervisor & Reserves Manager is responsible for ensuring the Library physical spaces are open in accordance with posted hours and that the Circulation desk is capably staffed at all times. This position also works with faculty and academic staff to manage course reserves.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Circulation Supervisor is responsible for ensuring that circulation policies are upheld and shall fulfill the following daily responsibilities:

Hire, train, schedule and supervise student workers for the Circulation Desk.
Handling regular circulation desk duties such as checking items in and out and fulfilling holds requests.
Responding to basic patron queries in person, over the phone, and via email/chat.
Collecting fines and carefully adhering to credit card and cash payment handling guidelines for fees received by the library, including proper tracking and data-entry.
Fielding questions about policy, and escalating reference questions and other concerns to a Reference Librarian or other Library staff member as appropriate.
Collecting library utilization data and assisting with library surveys.
Shelving books, journals, audiovisual materials, etc.
Assist with regular assessment of library procedures and policies and with keeping the Circulation Manual up to date.
Assuring orderly and clean appearance of the library and reading areas and making sure all necessary materials and equipment are available and in working order.
Assisting library patrons with photocopying, including paper supply, and scanning and or printing as necessary.
Monitoring technical problems that arise with the copier, printer, computer equipment, security gates, etc., and escalating for service as required.
Performing shelf-reading and identifying worn or damaged materials for repair or replacement.
Working on on-going library projects.
Keeping forms and posted signage up to date.
Additional tasks as assigned.
Reserves Management

Managing academic course reserves process.
Supporting, training, and communicating with faculty about the reserves process and policies.
Communicate copyright compliance and best practices as established by CIIS.
Hire, train, and supervise student worker(s) to assist with reserves processing.
Assist with acquisition of items for reserves and participate in regular collection development, in collaboration with the Cataloging Librarian.
Professional Development

Staying current with advances and concepts in applicable library fields.
Taking trainings and courses on product changes, technical advancements, new concepts as needed.
Advising colleagues and the director on developments in libraries, and making recommendations for library actionable items when appropriate.

Requirements:
Minimum of six (6) months’ related experience in the following (preferably in an academic library setting):

Providing excellent customer service (in-person, on the telephone and via email).
Hiring, scheduling, supervising and training of entry-level staff.
Experience working in a professional office or library setting, working cooperatively and flexibly in a busy office and across departments, successfully balancing priorities and multitasking.
Demonstrating professionalism in all communications.
Keeping accurate records.
Taking, applying and tracking payments and handling invoices and purchase orders; some light bookkeeping experience.
Using Excel spreadsheets, Paycom or other personnel time management software, and various Integrated Library Systems and online applications.

Additional Information:
SCHEDULE

One weekend day is required. Closing shift (hours vary seasonally). Some additional evening and weekends may occasionally be required.
