JOB: Library/Records Coordinator, Degenkolb Engineers, San Francisco

We’re a Structural Engineering firm looking for a versatile, detail-oriented individual to administer our library and records operations, including collection maintenance and cataloging, maintenance of our records filing system, retrieval and return and archiving of records as needed.

Key Result Areas:

Library quality assurance

  • Process library materials by applying appropriate labels, updating materials as necessary, and performing both original and copy cataloging in the ILS
  • Maintain both print and electronic library materials in good order
  • Order library materials as directed and weed the collection as needed
  • Assist users in locating information resources, both internally and externally
  • Place Inter-library loan orders when necessary
  • Check in/out library material to users
  • Ensure library area is neat and orderly
  • Liaison with office managers of branch offices with exchanging library material
  • Supervise office assistants with various library related projects
  • Create and maintain documentation for library processes

Records quality assurance

  • Create and maintain project files
  • Develop archival tools and standards
  • Tag, roll, index, and archive incoming drawings. Index and archive paper files. Archive electronic files
  • Search for and retrieve records for users
  • Liaison with offsite records storage vendor, including preparing records for off-site storage and recalling and receiving records from off-site storage
  • Process records destruction in accordance with the Records Management Manual
  • Ensure records storage area is neat and orderly
  • Supervise office assistants with various records related projects
  • Liaison with office managers of branch offices with sending files to other offices and ensure records standards and best practices are met. Travel to branch offices, when necessary, to ensure records retention and destruction processes are met
  • Create and maintain documentation for records processes



  • BA/BS Degree
  • Proactive and responsive customer service skills
  • Strong computer skills
  • Ability to exercise flexibility, initiative, and good judgment
  • Ability to work accurately, with interruptions, to meet deadlines
  • Ability to perform routine, repetitive tasks accurately
  • Skilled in the navigation of databases
  • Prior library or records experience


  • Ability to lift 40 lbs.
  • Familiarity with SharePoint
